The ranges published guides quote
The pages that answer this question are written mostly by software development agencies. Their numbers vary, but they cluster:
| Kind of CRM | Range quoted |
|---|---|
| A focused pipeline tool | About $18,000 to $45,000 |
| A basic custom CRM | About $30,000 to $50,000 |
| A CRM for a small or mid-sized business | About $50,000 to $80,000 |
| A large, complex system | $250,000 to $360,000 and up |
These are the guides' own figures on the date at the bottom of this page. The guides do not say how they staff a project, so treat the ranges as a map of the market, not a quote.
What drives the cost
Price follows scope. The same word, "CRM", can describe a contact list with three pipeline stages or a system that runs a whole company. The biggest factors:
- How many kinds of record it handles. Contacts and deals are simple. Add jobs, estimates, invoices, crews, materials and permits, and the work multiplies.
- How many roles see different things. An owner, an office manager and a crew that must never see money each need their own view and their own rules.
- What it connects to. Website forms, email, texting, payments, accounting and calendars each add work.
- Automation. Follow-up sequences, review requests and reminders need careful rules, especially around consent and opt-out.
- Data you bring. Importing years of contacts and quotes from another system takes cleanup.
- How polished the first version must be. A focused first release costs far less than one that tries to do everything on day one.
Owning compared with renting
A subscription CRM has a low start and a monthly bill that never ends. Published list prices for the products owners compare most:
| Subscription | Published price | Five years at that price |
|---|---|---|
| HubSpot Starter | $20 per seat a month | $1,200 per seat |
| Jobber Grow | From $149 a month, billed annually | $8,940 |
| GoHighLevel Unlimited | $297 a month | $17,820 |
Those figures leave out extra users, add-ons and sending costs. A CRM you own has a build cost, then hosting and sending costs that are quoted in writing with the build. The longer you use it, the more the comparison favors owning. The shorter you expect to use it, the more renting makes sense.
Costs after launch
The build is not the only number. Any CRM, rented or owned, has running costs, and a fair comparison includes them:
- Hosting, the server and database the CRM runs on.
- Sending, the email and text messages it sends, which carriers and email services charge for by volume.
- Changes, because a business changes and its software should follow.
- Backups and updates, so records are safe and the system stays current.
At Sky2Screen, hosting and sending costs are quoted in writing with the build, and extra work is billed at $60 an hour and quoted in writing first.
Why a focused build can cost far less
Sky2Screen is a small studio led by its founder. A focused Sky2Screen CRM is usually well under the ranges above, for four reasons:
- It is built for one owner's process, not for every possible customer, so it leaves out features you would never use.
- It starts from proven parts. Sky2Screen's CRMs share an engine that already handles intake, follow-up, consent and review requests.
- The work is AI-assisted, which shortens the time between a decision and working software.
- There is no account team. You talk to the person who scopes the work.
What that looks like in practice
Work Sky2Screen has already built on this approach:
- Lemoon's Painting, a San Diego painting contractor: Sky2Screen built a 351-page website and a CRM that receives every request from it and asks for a review two days after a job is marked complete.
- A reactivation CRM that follows up on old, unsold quotes by email and text and stops the moment a customer replies.
- An operating system for a roofer that will not schedule a job before the contract is signed and the permit approved, and hides dollar figures from crews.
How to get an accurate number
Bring three things to any quote conversation, with Sky2Screen or anyone else: your pipeline stages in order, the people who will use the system and what each should see, and the tools it must connect to. A clear scope produces a clear price. At Sky2Screen, every build is quoted in writing, and extra work is billed at $60 an hour and quoted in writing first.
Sky2Screen is based in San Diego and works with owner-run businesses across the United States. A demo is an online video call with the founder, Elian Gonzalez.
